These Terms of Service ("Terms") govern your use of the Saral HR platform ("Service"), operated by Saral HR ("we", "us", "our"). By registering or using the Service, you agree to these Terms.
1. Service Description
Saral HR is a cloud-based staff management platform that provides:
- Staff scheduling and rota management
- HR management and compliance tracking
- Sales tracking and reporting
- AI-powered invoice scanning and document processing
- Timesheet and attendance management
- Mobile staff access via the Saral Staff app
- Additional modules as described on our pricing page
2. Account Registration
2.1 Eligibility
You must be at least 18 years old and have the authority to bind your business to these Terms. By registering, you represent that you have such authority.
2.2 Account Security
- You are responsible for maintaining the confidentiality of your login credentials
- You are responsible for all activities under your account
- You must notify us immediately of any unauthorized access
- You must provide accurate and complete registration information
3. Free Trial
New accounts may receive a free trial period as specified at the time of registration. During the trial:
- Full access to the selected package features is provided
- No payment information is required
- The trial ends automatically after the specified period
- We reserve the right to modify trial duration or availability
4. Subscriptions & Billing
4.1 Pricing
- Subscription fees are as displayed on our pricing page at the time of purchase
- Prices are quoted in GBP and are exclusive of VAT where applicable
- We reserve the right to change pricing with 30 days' notice
4.2 Payment
- Payments are processed via Stripe (card) or GoCardless (Direct Debit)
- Subscriptions are billed weekly or monthly as selected
- Failed payments may result in service suspension after a grace period
4.3 Cancellation
- You may cancel your subscription at any time from your billing dashboard
- No long-term contracts or cancellation fees apply
- Access continues until the end of the current billing period
- Refunds are not provided for partial billing periods
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose
- Upload malicious code, viruses, or harmful content
- Attempt to gain unauthorized access to other accounts or systems
- Interfere with the Service's operation or infrastructure
- Reverse engineer, decompile, or disassemble the Service
- Resell or redistribute the Service without prior written consent
- Use the Service to store or process data in violation of data protection laws
6. Data & Privacy
6.1 Your Data
- You retain ownership of all data you upload to the Service
- We process your data as described in our Privacy Policy
- You are responsible for the accuracy and legality of data you input
- You must have appropriate consent to process employee personal data
6.2 Data Processing
As a data processor, we will:
- Process data only on your instructions
- Implement appropriate technical and organizational security measures
- Assist with data subject access requests
- Notify you of any data breaches without undue delay
6.3 Data Export & Deletion
- You may export your data at any time via the platform
- Upon account termination, data will be retained for 30 days, then permanently deleted
- Certain data may be retained longer as required by law
7. AI Features
The Service includes AI-powered features for document processing:
- AI results are provided as assistance; you are responsible for verifying accuracy
- We do not guarantee 100% accuracy of AI-extracted data
- AI processing is subject to fair usage limits based on your subscription
- Uploaded documents are not used to train AI models
8. Intellectual Property
- The Service, including its code, design, and branding, is our intellectual property
- Your subscription grants a limited, non-exclusive, non-transferable licence to use the Service
- You may not copy, modify, or create derivative works of the Service
9. Service Availability
- We aim for 99.9% uptime but do not guarantee uninterrupted service
- Planned maintenance will be communicated in advance where possible
- We are not liable for outages caused by factors outside our control
10. Limitation of Liability
- Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim
- We are not liable for indirect, incidental, or consequential damages
- We are not liable for losses resulting from your misuse of the Service
- Nothing in these Terms limits liability for fraud, death, or personal injury caused by negligence
11. Termination
- Either party may terminate the agreement at any time
- We may suspend or terminate accounts that violate these Terms
- Upon termination, your right to use the Service ceases immediately
- Sections relating to data, liability, and governing law survive termination
12. Changes to Terms
We may update these Terms from time to time. Material changes will be communicated via email or platform notification. Continued use after changes constitutes acceptance of the updated Terms.
13. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
